Position Summary
St. Agnes Catholic Parish, a 1,200-family church and 370 student K-8 school, seeks an administrative assistant to provide administrative duties and operational support to the parish office.
The successful candidate will combine strong organizational skills with a high degree of computer literacy and exceptional communication abilities to ensure smooth daily operations.
This is a year-round position that offers flexible scheduling options to accommodate the needs of families, including adjustments for school-related schedules and drop-off/pick-up times.
Essential Duties and Responsibilities
Communication & Hospitality
- Professional Representation: Serve as a primary point of contact for the parish office, greeting visitors and answering phone calls with a welcoming and professional demeanor.
- Written Communication: Draft, edit, and proofread official parish correspondence, including letters, emails, and bulletins, ensuring clarity and professional tone.
- Inquiry Management: Respond to inquiries regarding sacramental records, Mass intentions, facility scheduling, and general parish information promptly and accurately.
Technical & Administrative Support
- Computer Literacy: Maintain high proficiency in Google and Microsoft platforms.
- Database Management: Assist in maintaining the parishioner database ensuring accurate records for tithing, census data, and sacramental tracking.
- Scheduling: Coordinate and maintain the master parish calendar, including scheduling rooms for ministry meetings, school events, and liturgical services.
- Operations Support: Provide basic clerical support for the Pastor, director of operations and accountant.
Operational Coordination
- Sacramental Records: Accurately record and manage certificates for Baptisms, First Reconciliations, Confirmations, and Marriages in compliance with Archdiocesan standards.
- Office Logistics: Manage office supplies inventory, coordinate with equipment vendors (e.g., copiers, postage meters), and ensure the office environment remains organized and professional.
- Ministry Support: Provide administrative assistance to the Pastor, Associate Pastor, and various parish committees as directed.
Required Qualifications
- Must be a Catholic in good standing. Familiarity with St. Agnes a plus.
- Communication Skills: Exceptional oral and written communication skills are mandatory. Must be able to communicate effectively with a diverse range of people.
- Technical Proficiency: Demonstrated experience with modern office software (Canva, Google, Microsoft, databases, etc.) and the willingness to learn new systems quickly.
- Education & Experience: High school diploma required (Associate or Bachelor’s degree preferred); 2–4 years of experience in an administrative or office management role.
- Confidentiality: Absolute discretion and the ability to handle sensitive and confidential information regarding parishioners and staff.
Physical Requirements
- Ability to sit or stand for extended periods at a desk.
- Ability to lift up to 20 lbs (e.g., boxes of paper or office supplies).
- Manual dexterity for frequent keyboarding and phone use.
